If you use the Scan to Email function on your office printer or multifunction printer (MFP), there is an important Microsoft 365 security update on the horizon that could affect how your device sends emails.
At Inception Business Technology, we're helping organisations prepare for Microsoft's ongoing move away from Basic Authentication, replacing it with more secure methods for connecting printers, applications and devices to Microsoft 365.
What’s Changing?
For existing Microsoft 365 users, Basic Authentication for SMTP AUTH is scheduled to be disabled by default at the end of December 2026. Microsoft has also indicated that a final retirement date for the feature will be announced during the second half of 2027.
What Does This Mean for Your Printer?
The good news is that this does not necessarily mean you need to replace your existing device.
Many modern printers and multifunction devices already support Microsoft's preferred authentication methods. In some cases, existing equipment can be updated or reconfigured to remain fully operational.
However, if your device relies on older email authentication methods, it is important to understand the potential impact before these changes take effect.

To help organisations prepare, we've created a practical guide explaining:
